Scout Tracking Software

Does anyone have experience/suggestions with any of the software available for troops?

There seem to be so many available and before our troop invests in one, we would like to have feedback from users that are happy with what they purchased.

Actually our council is giving each unit some sort of tracking software that we will be able to use.

I've only ever used two programs, WinScribe and TroopMaster. WinScribe was an excellent program written by a friend of mine. I used to feature it on MeritBadge.com. Unfortunately, he hasn't updated the program in four years so I know longer distribute it.

TroopMaster is a good program. I was very happy with it when I served as Advancement Chairman for the troop. It's been some time since I tracked advancement for a troop so please take that recommendation with a grain of salt.

There is a list of links to advancement tracking software on MeritBadge.com. Some of the products are free and some of them have evaluation versions. After trying a few you may find something that fits your needs.

The software links are at: http://www.meritbadge.com/mblinks.htm#4

I have used troopmaster for years, I really like the program and it is easy to run and use.
The reports are easy to follow and useful when planning meetings around advancement.
Troopmaster has just added an internet goody, you have to pay extra of course, where by you can set up a network over the internet so all of the leaders can log on and see the latest and greatest for each scout.

I stopped by our Scouting Service Center yesterday and one of the items I picked up may be of interest here. It was a flyer pointing out that some advancement tracking software programs are ScoutNet Certified and the troops who use these programs can recharter electronically. I don't know if that means all councils support this option so you should check with you local council to find out.

Anyway, this is something you may want to consider before you make a software purchase decision. I've updated the Resource Links page to include a subheading specifically for software programs that are ScoutNet Certified. Once again, that page is available at:

Our Troop tracks advancement the old fashioned way....pen/paper
However, if I could find some useful software that had the ability to update requirements without erasing all the entered data...that would be helpful.

I have seen a lot of advancement tracking spreadsheets which are used to track an individual scout from beginning to end....these seem to be the most effective so far but who knows...I guess a lot of it is what you get used to.

We use TroopMaster ME. It assists in tracking each scout's progress or lack thereof. Its greatest function is tracking attendance at the different activities. As a scout in the Troop, it took a week to recall the activities needed to complete the activity requirement. Our Council sells TroopMaster, directly to the units, at a reduced cost.
TroopMaster comes out with quarterly updates to match the changing requirements.

Let me add another vote for TroopMaster. Their customer service is simply wonderful. I have always received very timely responses to my email queries and it is not hard to talk to someone on the phone if you have an immediate question. Some older troops might already own a copy and not even know it. Each copy is purchased for a particular unit and you can install that on as many systems in the Troop as needed. If you send an email to TroopMaster with your Troop number and council, they can tell you if it was purchased previously or not. They will send you a disk at cost if you had the latest version.

For me, almost the entire cost of TM is easily justified in the reporting functions alone. The Target First Class report allows you to pick some or all of the 1st and below requirements, then see a table showing who's got them and who doesn't. You can then sort the results by number needing. Great for planning activities for younger Scouts. The COH report prints out the forms the Scout Shops ask for and makes a good shopping list too. The physical exam status report is useful for long term camping to figure out who (Scouts and Adults) need to update their physical exams. Also useful are the Eagle, Eagle Palm and recharter assistance reports.

We also print out the Individual Progress report which shows each rank and its requirements and date completed. We distribute these to the boys to put in their binders (we make binders for each new Scout), but it also serves to remind the boys and their parents of what needs to be done.

As stated previously, the Activity Management part is such a time-saver. As you enter in camping nights, miles hiked, miles biked, etc, it totals them and applies them to rank requirements and reports. It also determines OA eligibility based on this.

Some councils allow you to submit your advancement electronically right from TroopMaster and that can be handy. If you have just purchased TM for the first time, there is a way to directly import your Scouts from the Council's ScoutNet system.

TM also has the ability to assign certain functions to different users. So, for instance you can give advancement to one person and OA to another, financial to yet another and they can only update the parts they have access to. Then, they send updates to the master system. Very useful. I have not used the FTP functionality as we cannot justify the cost yet. For larger troops, this would be invaluable.

For LDS troops, it also tracks the Duty to God award requirements (lots of them!).

Overall, it is a richly featured program. It has saved me so much time, that I just cannot recommend it enough. Sam at TroopMaster has done a FABULOUS job and I just cannot say enough. That being said, I have not seen any other programs, so my opinion may be a little one-sided. After almost 3 years of using it, I am still finding little things here and there. The updates are timely. I have a friend who bought ScoutMate because of its ability to handle Cub Scout advancement as well, so I will see how he likes it. He used TM before, so he will have a good perspective.

The same company also produces software for the GS, Cub Scouts and District Chairman. By the way, I don't work for them nor am I affiliated with them, but just a very satisfied user.

Westmoreland-Fayette Council supplied every unit with software so they can recharter on line. Pretty Cool !

Our Troop uses TroupMaster in conjunction with TroopLedger, financial software. As the Troops Treasure, I can attest that TroopLedger makes the Troop finances very simple. In our Troop, each scout has their own "account" of funds to use for activities, summer camp, Jamborees, etc. TroopLedger makes it very easy to keep track of each scouts account.

Troop management software

Postby Russ » Sun Feb 06, 2005 3:10 am

I have used TroopMaster for years and years, I absolutely love it, and I would highly recommend it to anyone. And, now that I finally have broadband (yea!) and TroopMaster has added ftp hosting for as little as $5.00 per year, I'm going to get the DotNet extension so all my assistant Scoutmasters, my advancement chairman, et. al. can access the records real-time. I can't compare it to anything else available, because I never tried anything else, but with TroopMaster, one doesn't need to, in my opinion.

TroopMaster Software creates a great set of products.

I've used both PackMaster and TroopMaster, and love them both. I'm helping a cub scout pack implement DotNet right now, and it looks like it's going to be an even more positive tool there, especially allowing den leaders to enter awards information separately, and then have the awards chair run the appropriate reports to get the awards from our local scout store.

On the troop level, I've seen similar benefits, and again, it's a great tool to help eliminate/streamline background paperwork for operating a unit.

My dad as the troop treasurer uses TroopLedger, he seems to have no problems with it.
